Early Education Funding – Provider Portal Training

Event Introduction This course is an introduction to the online Synergy Provider Portal. It is essential that providers of 2-4 childcare attend this event. From September, new legislation means that eligible parents can now claim up to 30 free hours of childcare. This means providers will be required to claim for both standard hours, and any additional hours the children are eligible for.

The facilitator will talk though how to use the Synergy Provider Portal, the online tool used to submit Early Education Funding (EEF) claims to AfC.

The event will be as interactive as possible, the facilitator will provide a demonstration on how to access the portal, read funding history, and submit required data to AfC in order to claim EEF. The session will include a Q&A in which providers can make specific queries about the process. The course will include information on new processes related to the provision of Extended Hours (aka 30 Hours) that came into effect from September 2017.

If you are a provider of childcare for children between 2-4 this is an event you really need to attend. The session is only offered to those providers in Kingston or Richmond boroughs.

Event Content This session is an introduction to the online system. The facilitator will provide a demonstration on how to use the Synergy Provider Portal tool from start to finish. It is intended that the session will be useful both to:

• existing Portal users, as a refresher and to inform them of the new features.
• new providers as a starting point.

The session will cover the following areas:

• How to log in to the Portal. The facilitator will explain all things password related. Including, how to reset the initial password to a new password, and what to do if login details are forgotten at any time.
• How to navigate the portal to find the relevant area/page. The first stage of this will be to view the setting’s funding history/records for previous terms.
• How to submit estimates for the current term – a required step for providers to receive the interim EEF payment at the beginning of a term.
• Finally, providers will be taken through the process of completing a child headcount for the new term. Steps will include the updating of existing children carried over from the previous term, adding new children, and submitting the completed records to AfC. Each part of the data entry will be explained, from recording personal details, to the hours being claimed for each child, and any parent details that are required.

From September 2017 the new legislation means that eligible parents can now claim up to 30 free hours of childcare. Providers will be required to claim for both standard hours, and any additional hours the children are eligible for. The demonstration will show providers how to check the eligibility of Extended Hours claims (how to check codes), and how to enter the additional hours, separately from the standard hours.

At the end of the demonstration there will be a Q&A session to address any specific queries.

The aim of the course is for all childcare providers to feel comfortable and confident in using Provider Portal. It is necessary learning for all providers as Provider Portal is the only method providers can use to submit EEF claims to AfC.

The training will be delivered by Jamie Brown. Jamie is the Business Systems Analyst for Achieving for Children. He has 12 years experience providing specialist technical support and training to Children's Services practitioners and 8 years experience providing specialist technical support and training to users of Early Years/Childcare software.
Event Learning Outcomes At the end of the course, the providers should be able to do the following:

• Log in to the Portal.
• Access funding history/records for previous terms.
• Submit estimates for the current term – required to receive the interim EEF payment.
• Complete a child headcount for the new term, including updating of existing children, adding new children, and submitting the records to AfC.
• Existing users should be comfortable with the new features of Provider Portal, such as how to add Extended Hours (30 hours) and check parents’ eligibility to claim Extended Hours (checking codes).

Providers should also leave feeling any specific concerns they have about using the Portal have been addressed.
